Prerequisites
Before starting, you'll need Organism installed and running with the Therapy Assistant app installed. If you haven't done this yet, follow the appropriate guide for your platform:
Once the Therapy Assistant is installed through Organism, click Open App from the installation complete screen — or navigate to http://localhost:8085 in your browser.

Step 1: Welcome Screen
The Therapy Assistant welcome page introduces the key features of the platform:
- Client Management — securely manage client records, session notes, and treatment plans
- AI-Powered Assistance — generate session summaries, treatment suggestions, and progress reports
- Scheduling — manage appointments and send reminders
- Encrypted & Private — all data is encrypted at rest and stays on your hardware

Click Get Started to begin the setup process.
Step 2: End User Licence Agreement
Before using the application, you'll need to review and accept the EULA.

- Scroll through the agreement text to read the full terms
- Once you've scrolled to the bottom, the agreement checkbox becomes enabled
- Check I have read and agree to the terms
- Click Accept & Continue

Step 3: Create Your Admin Account
The first account you create becomes the practice administrator. This account has full access to all settings, user management, and data.

Fill in your details:

| Full Name | Your name as it will appear in the system |
| Email Address | Used for login and notifications |
| Password | Minimum 8 characters with mixed case and numbers |

Click Next to continue.
Step 4: Set Up Your Practice
Enter your practice details. This information is used throughout the application — in headers, reports, and client communications.

| Practice Name | Your business or practice name |
| URL Slug | Short identifier used in URLs (auto-generated from practice name) |
| Timezone | Used for scheduling and appointment times |
| Culture | Language and regional formatting (date formats, currency) |
Click Next to continue.
Step 5: Configure Services (Optional)
The services page lets you enable optional integrations:

| AI Assistant | AI-powered session notes, summaries, and treatment suggestions |
| Voice Transcription | Record and transcribe therapy sessions |
| Email Notifications | Appointment reminders and client communications |
| Cloud Storage | Backup documents and attachments |
You can skip this step and configure services later from Settings. Each service may require its own API key or configuration.
At the bottom of this page, you'll also find an option to Seed Demo Data — this populates the system with sample clients, sessions, and tasks so you can explore the interface immediately.
Click Complete Setup to finish.
Step 6: Setup Complete
You'll see a confirmation screen showing that everything is configured and ready:

The verification panel confirms:
- Admin account created
- Practice configured
- Database connected and healthy
- Services initialised
Click Go to Dashboard to start using the application.
Step 7: Your Dashboard
The dashboard is your central hub for managing your practice:

From the dashboard you can see:
- Today's schedule — upcoming appointments at a glance
- Recent activity — latest session notes and updates
- Quick stats — active clients, sessions this week, pending tasks
- Tasks — action items and follow-ups
Client Management
The Clients page shows all your registered clients with search, filtering, and quick actions:

From here you can:
- Add new clients with detailed intake information
- View client profiles, session history, and treatment plans
- Schedule appointments and record session notes
- Track progress over time with outcome measures
What's Next?

- Schedule a session — create appointments from the client profile or calendar
- Configure AI features — get an OpenAI API key to enable AI-powered session notes
